Athleturn is a community sports equipment reuse initiative in Hyderabad. This notice covers the information we receive when someone offers equipment, requests gear for a school or team, contacts us, or takes part in an equipment handover.
Information you give us
Donation enquiries: your name, phone number, optional email address, area in Hyderabad, sports, approximate item count, preferred handover method, any notes you choose to send and the time the form was submitted.
Equipment requests: school, team or organization name and type; applicant name and role; phone number and optional email; school or ground location; approximate number and age range of players; sports; equipment needs; current sports program and the time the form was submitted.
You may also share information with us by phone or email. Please do not include a child’s name, contact details, precise personal information, or health information in a form. An adult representative should make applications for a school or team.
How we use it
We use these details to reply to you, understand a donation or request, check and match available equipment, arrange a convenient pickup or meeting site in Hyderabad, and coordinate the handover. We may also use basic records to follow up on the equipment and understand Athleturn’s work.
We do not sell personal information or use these forms to build a marketing list. The forms do not collect payments or photo uploads.
Where form submissions are stored
When you submit a form, the information is sent through Google Apps Script and stored in Google Sheets for the Athleturn team to review and coordinate the work. Google may process that information while providing these services under its own Privacy Policy. We aim to limit access to people who need the information to handle Athleturn applications and handovers.
The form service may briefly use a request IP address to limit repeated automated submissions; it is not added to the application spreadsheet. The website is hosted by Vercel, which may process technical request information needed to deliver and protect the site. See Vercel’s Privacy Policy. Athleturn does not currently use this website to run advertising or analytics trackers.
Handover photos
A recipient may choose to be photographed when equipment is handed over. If they agree, we may send the photo to the donor connected with that equipment as an update. A photo is optional and is not a condition of receiving equipment. We do not publish a recipient’s photo on our website or social channels without separate permission.
For a child, we require permission from a parent or legal guardian and the responsible school or organization before taking or sharing an identifiable photo. We avoid sharing a child’s name or other identifying details with the photo. You can contact us to withdraw permission for future use; we will stop future sharing and, where practical, ask people who already received the image to delete it.
How long we keep information
We keep contact and application details while we are handling the enquiry, arranging a donation or equipment request, and carrying out reasonable follow-up and recordkeeping. We review stored information and delete or remove identifying details when they are no longer needed for those purposes, unless we need to keep a limited record for an ongoing matter or legal reason. Photos are kept only for the handover update and related recordkeeping unless we have separate permission for another use.
Your choices and requests
You can ask us to access, correct or delete information you sent us, or tell us that you no longer want an optional photo shared. Email athleturnnpo@gmail.com and tell us which donation, request or handover your message relates to. We will review the request and respond. We may keep a limited record where it is still needed for an ongoing request or other legitimate recordkeeping.
Keeping information safe
We use the information for Athleturn’s equipment collection and distribution work and take practical steps to protect it, including limiting access to people involved in that work. Please contact us if you think information you shared has been used or disclosed in a way you did not expect.
